Using Fiber to Copper Voice Transceivers in RightFax 9.0
if you are wondering what fiber to copper voice transceivers has to do with RightFax, let me quickly clear it up. Due to distance constrains with UTP/STP cable between PABX and the Brooktrout E1 card, Fiber Optic cable has to be used for the connectivity. However as the Brooktrout E1 Fax card does not have a fiber outlet Special Voice transceivers has to be used to convert the fiber optic cable signaling to UTP.
Distance more then 200-300 meters is usually considered as the max distance between for a UTP/STP. If you are troubleshooting E1 connectivity on the RightFax server with the brooktrout card and PABX setting fine, verify the distance between the RightFax server and PABX and if it is more then the above distance then you can use the above solution.
HOW TO broadcast fax in RightFax using mail merge
You can set up a Mail Merge when you choose to send out a broadcast fax. This mail merge process will need to utilize embedded codes to provide addressing information for your fax recipients. The benefits of a mail merge are that each individual fax can be personalized or customized to fit the recipient, in addition to or in place of a personalized cover sheet. Instead of sending 500 faxes where the coversheet is personalized but the body of the document is the same for all faxes (by using a library document or other attached file), the merge process will provide the body of each fax with contact information specific to each recipient. For example, imagine the faxes being addressed to each recipient such as “Dear Jalal” or “Dear Khan,” as opposed to each fax simply saying” Dear Valued Customer.” The drawback to using a mail merge is that each individual fax page must be converted from its native format to a .tif image, which requires the attention of the processor on the server.
You can reference the RightFax User’s Guide for assistance on properly setting up the Mail Merge Fields in your document. See the section entitled “Phonebooks and Broadcast Faxing.”
HOW TO delegate users in RightFax 9.0
You may want to designate fax users as delegates to a perticular fax mailbox, for viewing, replying, sending, editing, deleting faxes. This is a usual requirement if a shared fax mailbox is being used, like call centre or a department fax mailbox etc, wherein all the faxes are received in a single mailbox and all users log-on/connect to this fax mailbox with there respective permission set.
For example, In a call centre wherein you may want all the call centre agents to have permission to logon to a centralized fax mailbox used for receiving faxes from customers. All call centre agent logon to this fax mailbox to view faxes or reply according to there respective permissions.
To designating users as delegates to a fax mailbox, follow the below:
“Access denied: if you are a delegate of this user, please request that the delegate grant you this permission”
The error “Access denied: if you are a delegate of this user, please request that the delegate grant you this permission” is because from RightFax 9.0 not all the administrators are allowed to delegate permission on user mailboxes, offcourse this is for security reasons. To allow additional administrators for delgating or browsing other users mailboxes the default RightFax administrator has to grant permission “Administrator Can Bypass Privacy Restrictions” explicitly.
To allow additional administrators this permission follow the below:
RightFax 8.7 Active Directory Synchronization
With the RightFax 8.7 Active Directory Synchronization you dont need to create users manually in RightFax, if you have Active directory in place simply synchronize it with RightFax. This is a simple process to populate users in RightFax. Since this process edits the Active directory schema it needs scheme admin privileges. However this is a one time requirement during the RightFax 8.7 active directory synchronization setup only.
- Open the EFM
- Open properties of Workserver module and
- Active Directory sync.
- For details on the changes to Active Directory Schema refer to CaptarisSyncSchema.xml on the RightFax Server installation folder.
- It is always recommended to create a RightFax users group and Active Directory Sync should be configured to synchronizing RightFax users group ONLY. Any new fax user should be added to the group and RightFax server will synchronize the new user and the user will then be able to send fax through RightFax.
*Additional to the users replication you have to do the necessary user configuration, ex, routing code, inbound routing etc.
RightFax 9.0 Board Server Module does not start with error 1052
“Error 1052″ while trying to start the RightFax 9.0 board server module service in EFM, this is the most common error you would encounter with RightFax board server on a windows 2003 server using Brooktrout TR114+P4L.
This is because windows 2003 server comes with a copy of BFAX.SYS which is the default driver for brooktrout fax card. However, for the RightFax to work you need to install the driver that comes with the RightFax CDs.
As soon as you insert the card and restart the server, windows will detect the new hardware and if you select the continue it will install the driver from its database using the BFAX.SYS file that comes with windows.
In case you are encountering this issue, you need to first disable the BFAX.SYS driver that windows has used and install the RightFax board driver.
To disable windows copy of BFAX.SYS and install the RightFax board driver follow the below steps:
RightFax scanner button grayed out
I had a real hard time to make the RIghtFax scanning work. Simple Twain driver installation and it is suppose to work however the twain driver and the RFScan.dll registeration is always a pain.
Anyways, I had to do the manually register the RFScan.dll to make it work
To register RFScan.dll, follow the below instructions:
HOW TO set the default server value in RightFax 9.0 WebUtil

Becoming an RightFax Expert (part 2)
Components
Now that we have understood the need to an E-Faxing systems and a formal introduction to Captaris RightFax in the part 2 of this post we will understand the components of RightFax.
Server Software:
Server typically provides services to send and receiving faxes, maintaining database, user and configuration database, fax board, monitoring and alerting, dialling rules, gateway etc configuration.
This usually comes in 3 flavours, Enterprise suite, Enterprise & satellite.
The server receives the fax via its fax card, converts it to an image usually .tiff file, uses the entered routing code by sender and matches the routing code using the configured user routing configuration & routes the fax to the user.
Good news, you don’t need to create users manually if you have MS-Active directory in place with RightFax active directory synchronization feature you can simply replicate the user from the active directory and popular the RightFax user database. Database by default is the stored in propriety format else you can use MSDE or SQL server.
Becoming an RightFax Expert (part 1)
Well readers, you can turn into an Captaris RightFax 9.0 expert in 10 mins, whether you are a RightFax consultant or RightFax engineer with a beginner or not-so-expert knowledge this post is for you.
Fax is an important part of business; it is sometimes called the second original document. Hence, fax still lives and manual faxing is the concern in this automated world.
E-Faxing, Electronic faxing, hassle free faxing, fax from your desktop etc are the most commonly used terms for Electronic Faxing.
Do we really need so called E-Faxing system at all in the first place? What is the requirement of E-Faxing? What are the functionalities of E-Faxing?
In the orthodox world, for sending a fax your employee needs to prepare a document, print it, travel to the printer, wait for the document to be printed if it is in the print queue, pick the print out, travel to the fax machine, wait for your turn if the fax machine is being used, fax it and copy it with the fax confirmation for records. Wow, this is huge time I tell you, consider an enterprise with about 100s of fax machines, every department having a fax machine, this is a real productive lost. Apart from time consumed by this manual process, there is no organization confidentiality control anyone can fax anything and anywhere, time consuming archiving and retrieval process for sent faxes are some of the concern for any organization.
